Operations Assistant


JA Europe is a not-for-profit organization dedicated to providing education programmes for entrepreneurship, work readiness and financial literacy to young people. JA is one of the world’s largest NGO’s offering such programs.
JA serves its network of member organizations, called “Member Nations”, by sharing know-how and development expertise as well as offering services and networking. The programmes offered by each Member Nation are designed to bring together local business people and schools in a variety of ways. For example, business people volunteer their time to help teach the programs in local classrooms. The programme content focuses on economic literacy, business skills, enterprise and entrepreneurship, personal and career development, and ethics or social economics. Member Nations are financed by local businesses and other agencies/institutions which may also serve on the local board of directors.
JA Europe is the European arm of JA Worldwide. Today there are 40 European countries offering JA programs (approximately 3.5 million students in 2017). It is the role of JA Europe to facilitate the growth and development of European Member Nations.

Operations Assistant


Support to CEO, Deputy CEO

  • Provide full support to CEO/Deputy CEO on correspondence, engagements, travel, board of directors, JA network, JA Worldwide
  • Organisation and coordination of meetings/telephone conferences (case-by-case would include: sending invitations, management of participants, lunch orders, preparation of meeting files)

Support to CFO

  • Daily Financials (Preparing and encoding payments for the payment book; Filing/Archiving of accounting docs, important correspondence and contracts; Trip reports coordination; Track and process payment requests, liaise with financial department to ensure timely payment; Maintain a paper and electronic archive of all related documentation)
  • Main phone receptionist; welcome and take care of guests/visitors
  • Distribution of incoming mail, back-up for central phone line
  • Office Supplies and Procurement; Keep Neat-Tidy Office; Liaise with our Landlord on relevant issues

Support to the team

  • Formal correspondence with European institutions, Member Nations, stakeholders
  • Work with database(s) on the Sharepoint
  • Support project managers with organizing events (Hotel and travel arrangements, restaurant reservations)


  • Must be fluent in English (written/spoken), excellent French (Dutch is desirable)
  • Entrepreneurial flair. High personal drive and strong initiative to achieve results
  • Well-organized and systematic approach to work and time management
  • Good prioritization skills and ability to work under minimum supervision to tight deadlines
  • Strong diplomatic communication and people skills
  • Proactive issue resolution and trouble shooting
  • Proficiency in MS Office applications (Word, Excel, PowerPoint, Outlook 2016) and IT tools


  • At least 5 years of relevant working experience
  • Experience with presentations, briefs, meeting planning and support
