IT & Operations Assistant

Position overview: The IT & Operations Assistant will play a critical role in sustaining the IT infrastructure and delivering the digital services to the JA team.

Type of Contract: Employee or individual consultant

Location: Europe (remote)

Available Budget: 16.000 to 18.000 Euros based on experience, location and contractual arrangements

Deadline: rolling basis until filling the position

Period: 1 year, with possibility of renewal

Opportunity

We are seeking an enthusiastic IT & Operations Assistant to join our multicultural, driven team. The ideal candidate will be a tech-savvy individual with a passion for collaboration with a strong team player attitude. The IT & Operations Assistant will play a critical role in sustaining the IT infrastructure and delivering the digital services to the JA team.

Responsibilities

  • Provide ongoing support for JA’s digital infrastructure, including managing email accounts, resetting passwords, and troubleshooting email issues;
  • Collaborate with Digital and Operations teams to identify and prioritize tech requests;
  • Support the Digital team in implementing new solutions, including vendor assessments, testing, training – vendor research online, identification of team needs & translation into tech specification, testing of new solutions, development feedback, training for team members on new tools
  • Support the coordination with external vendors and service providers to ensure smooth operation of the JA tools – communication about tech issues, requests or needs from the JA team;
  • Contribute to the creation of training materials and facilitate training sessions for JA staff on collaborative tools and IT-related topics;
  • Communicate effectively with diverse teams across different cultures to ensure quality support;
  • Troubleshoot technical issues related to the JA IT infrastructure and escalate as needed – support the JA on hardware/software management and setup, fix software/hardware issues, create new installations, oversee company hardware maintenance;
  • Ensure compliance with data privacy regulations and policies;
  • Provide technical support to users across different countries and time zones;
  • Assist team members with various ad-hoc IT needs, ensuring quick and effective support.
  • Keeping track of different KPIs and in case any risk flag it to the Digital and Operations Team;
  • Assist in maintaining documentation for IT processes and procedures
  • Support in creating and maintaining user guides for common software and tools
  • Contribute to the development and implementation of IT best practices

  • Bachelor’s degree in IT, Computer Science, or a related field, or equivalent practical experience. 1-3 years of experience in an IT support or operations role, preferably in an international environment
  • Proficiency in remote collaboration tools and comfort with virtual work environments Experience with learning management systems, educational technology, and other digital tools;
  • Ability to work collaboratively in a team environment and across different cultures and time zones
  • Patience and empathy when providing technical support to non-technical staff
  • Strong attention to detail
  • Knowledge of IT infrastructure and support
  • Proficiency in Office 365 suite, including administration tasks
  • Basic knowledge of WordPress management and troubleshooting
  • Familiarity with common external tools (mailchimp, dropbox) used in the organization
  • Adaptability to rapidly changing technology landscapes
  • Knowledge of basic cybersecurity principles

Nice to have:

  • Demonstrated interest in entrepreneurship education;
  • Experience coordinating with stakeholders in multiple countries;
  • Understanding of GDPR and other relevant data protection regulations
