Communication and Administrative Assistant to the Executive Office 

Position overview: We are seeking a proactive and detail-oriented Communication and Administrative Assistant with a strong interest in social media and executive coordination. In this role, you will contribute to the executive communication agenda through content creation, social media support, and digital storytelling, while also ensuring smooth daily operations of the Executive Office. This position is ideal for someone who is creative and digitally savvy, yet highly organised and reliable, with excellent communication skills and a strong sense of responsibility. You will support administrative tasks — including agenda management, meeting preparation, travel coordination, stakeholder communication, and follow-up tracking — while helping amplify strategic messaging and engagement across JA Europe’s digital channels. You will thrive in this role if you enjoy balancing creative communication work with structured operational tasks and are eager to grow in a dynamic international environment dedicated to empowering young people across Europe.

Type of Contract: employment or consultancy

Location: remote and flexible location in Europe

Available Budget: 16.000/20.000€ Gross for employment or equivalent for 90% consultancy based

Role Overview

You will support administrative tasks — including agenda management, meeting preparation, travel coordination, stakeholder communication, and follow-up tracking — while helping amplify strategic messaging and engagement across JA Europe’s digital channels.

Key Responsibilities 

Communications 
 

  • Assist in managing social media channels for the Executive Office, including content planning, creation and scheduling in line with JA Europe’s brand and messaging. 
  • Support in community management for the Executive Office’s social media platforms. 
  • Draft and edit written materials such as briefs, presentations, talking points and reports. 
  • Support engagement with partners, stakeholders and internal teams ensuring timely communication. 
  • Availability to travel up to 25% of the time 

Administration and Coordination 

  • Support the coordination of meetings, travel, agendas and calendars for the Executive Office. 
  • Assist in preparing meeting documentation and tracking action points. 
  • Support event planning and logistics for CEO engagements and external meetings. 
  • Maintain confidentiality and manage sensitive information with professionalism. 

Profile/experience 

  • BA in organization management, marketing, communication or similar. 
  • Certification with Social Media tools is a plus 
  • Strong organisational and time-management skills, with the ability to prioritise multiple tasks. 
  • Excellent written and verbal communication in English. Knowledge of other European languages is an asset. 
  • Proactive, responsible and resourceful, with a solutions-oriented mindset. 
  • Strong digital skills, including proficiency in MS Office. 
  • Experience using social media platforms, especially LinkedIn and Instagram, including their respective analytics functions. 
  • Familiarity with content creation tools such as Canva, CapCut or similar platforms. 
  • A creative eye for visuals, video creation and storytelling is a plus. 
  • Ability to work independently and collaboratively in a fast-paced, international setting. 
  • Knowledge and experience with Communication and Administrative AI tools.
