Intern for Events Department

Opportunity

We are seeking a motivated and detail-oriented intern to join our Events Department, with a primary focus on logistics. This role offers a unique opportunity to gain hands-on experience in event planning and coordination, working closely with our team to ensure the smooth execution of various high-profile events and initiatives.

This is an excellent opportunity for someone looking to gain practical experience in event management and logistics while contributing to the success of major events and youth engagement initiatives.

Flexible, Full-Time (30 hours per week)

Key Responsibilities:

  • Logistics Coordination: Assist in the planning and coordination of all logistics for upcoming events, ensuring seamless execution from start to finish. 
  • Travel Arrangements: Research and secure the most suitable flights and accommodations for event attendees, speakers, and staff, optimizing both cost and convenience. 
  • Communication Management: Serve as the primary point of contact for all inquiries from event participants, including delegations, partners, and staff, providing timely and accurate responses. 
  • Hotel Rooming Oversight: Work closely with our team and external partners to manage hotel room allocations, ensuring accurate rooming lists and special requests are handled efficiently. 
  • Registration Process Management: Assist in designing and managing the registration process using online platforms, including the registration of member nations, partners, staff, and special teams. Address any issues or queries that arise during registration. 
  • Issue Resolution: Proactively identify and resolve logistical issues, ensuring that all aspects of the event run smoothly and efficiently. 
  • Backend Updates: Regularly update and maintain the backend systems related to event logistics, registration, and mobile app content, ensuring accuracy and up-to-date information. 
  • Support for Youth Engagement Initiatives: Assist in the logistical planning and coordination of youth-focused digital democracy projects. 
  • Certificate Management: Assist in the creation and distribution of certificates for event participants, coordinating with the JA Local network to ensure timely and accurate delivery. 

Qualifications:

  • Strong organizational skills and attention to detail. 
  • Excellent communication skills, both written and verbal. 
  • Ability to manage multiple tasks and deadlines effectively. 
  • Proficiency with event management software is a plus. 
  • Flexibility to work varied hours as needed to meet event timelines. 
  • Interest in event planning, logistics, or related fields. 
  • Excellent communication skills in English (verbal and written).
